Background of the study

University admission processes are often accompanied by numerous inquiries from prospective students regarding application procedures, entry requirements, deadlines, and course offerings. In many cases, the sheer volume of these inquiries can overwhelm university admission offices, leading to delays and inefficiencies. In response to this challenge, artificial intelligence (AI)-powered chatbots have emerged as an innovative solution. These chatbots can provide real-time, automated responses to frequently asked questions, streamlining the admission process and improving the student experience. By utilizing AI to understand and respond to inquiries, universities can ensure that applicants receive accurate and consistent information quickly. In Suleja LGA, Niger State, where prospective students often face challenges accessing admission information due to communication barriers and limited access to staff, implementing an AI-based chatbot system could address these gaps. This study seeks to explore the feasibility and effectiveness of an AI-powered chatbot for managing university admission inquiries in Suleja LGA.

Statement of the problem

University admission processes are often marred by delays, especially when prospective students face difficulties obtaining timely and accurate information. In Suleja LGA, Niger State, many prospective students struggle to access vital admission details due to limited access to the admission office or inadequate communication channels. The absence of a system that can provide automated, accurate, and immediate responses to inquiries leads to frustrations and inefficiencies. Implementing an AI-powered chatbot for university admission inquiries could significantly improve the process, offering an easily accessible platform for prospective students to obtain answers to their questions, thereby enhancing the overall efficiency of the admission process.

Objectives of the study

1. To design and implement an AI-based chatbot system for university admission inquiries in Suleja LGA, Niger State.

2. To evaluate the effectiveness of the chatbot in providing accurate and timely responses to prospective students’ inquiries.

3. To assess the impact of the AI chatbot on reducing the workload of university admission staff and improving communication efficiency.

Research questions

1. How effective is the AI-based chatbot in providing accurate and timely responses to prospective students’ admission inquiries?

2. How does the use of the AI-powered chatbot impact the efficiency of university admission processes in Suleja LGA?

3. What are the perceptions of prospective students regarding the usefulness and accessibility of the AI-based chatbot?

Research hypotheses

1. The AI-powered chatbot will provide faster and more accurate responses compared to traditional methods of inquiry handling.

2. The implementation of the AI-based chatbot will reduce the workload of university admission staff.

3. Prospective students will perceive the AI-powered chatbot as an effective tool for obtaining admission-related information.

Significance of the study

This study will contribute to improving the university admission process in Suleja LGA by implementing AI technologies to enhance communication efficiency and reduce administrative burdens. The findings could provide a blueprint for other educational institutions to adopt AI-driven chatbots, thereby increasing access to admission information and improving overall operational efficiency.

Scope and limitations of the study

The study will focus on the design and implementation of an AI-based chatbot for university admission inquiries in Suleja LGA, Niger State. Limitations include the need for internet access and technological infrastructure to support the AI system, as well as potential resistance to adopting new technologies from university staff and prospective students.
